Your society's annual filing, prepared

Under the 2022 Act your society owes the Registrar four things within six months of its balance date: hold the AGM, complete financial statements signed by two committee members, register those statements, and register an annual return. We prepare the paperwork for three of them from your treasurer's figures.

We never invent a figure Anything your treasurer hasn't given us is marked as still needed, in place — never quietly defaulted to zero. Zero is a claim about the society's affairs, and it goes into a document two committee members sign.

1. First, one question that decides everything Is your society registered as a charity with Charities Services? * A registered charity files nothing with the Registrar of Incorporated Societies — no statements and no annual return. It reports to Charities Services instead. We'd rather find that out now than take your money.

Exactly as it's registered — this goes on the front of the statements and into the annual return.

Balance date * The day your financial year ends — 31 March unless your rules say otherwise. It drives every deadline in the pack. How many members has the society got right now? The annual return asks you to confirm you've still got at least ten.

3. How big is the society?

This is the part committees most often get wrong, so we ask for concrete numbers rather than definitions. Note it's the two years before the one you're filing for — the test looks backwards.

Plain whole dollars, no commas. A rough figure off the bank statements is fine at this stage.

Everything that left the bank account except buying assets and repaying loans.

Cash and near-cash held — end of last completed year Cash and near-cash held — end of the year before

Bank accounts, cash on hand, and anything you expected to turn into cash within twelve months. Not the clubrooms, not the mower, not the green. A bowls club with a $400,000 green and $26,000 in the bank is a small society — asking for "total assets" here is the single most common way this goes wrong.

Most clubs tick none of those. Each one changes which reporting standard applies, so it's worth reading them twice — and if one applies we'll tell you what you actually need instead of selling you this.

4. Meetings and filing

Date of your last AGM There's a fifteen-month rule between AGMs — the calendar checks you against it. Can anyone on the committee log in to the society's online account? Filing is online only, so it's worth finding out now rather than the week it's due.

5. Which one do you want? Choose * The NZ$395 tier is the same pack, checked by an accountant before your committee signs, with the routing and any audit trigger talked through. It's still preparation work, not an audit or a review — and two committee members still sign your statements. Anything else we should know?

6. Terms

Delivered within one working day of your payment clearing — or of your answering anything we have to come back to you on.
Refundable in full until we start generating. After that the work is done and it isn't.
If this turns out to be the wrong product for your society, we refund you in full — a registered charity, or a society outside the small-society route — at whatever stage we find out.
Two members of your committee date and sign the statements, and they're presented to members at the AGM before the society registers them.
A named officer of your society makes the annual return certifications. They're not ours to make.
The society files, from its own online account. We don't touch your RealMe login.
